Form 1042-S List Overview

The Form 1042-S list shows all 1042-S data (users and vendors) that has been imported and/or already generated. Additionally, in the Form 1042-S list you can: 

  • Generate 1042-S forms
  • Export 1042-S forms
  • Delete 1042-S forms
  • Prepare and e-file Form 1042

How to access the Form 1042-S list

Administrators with permission View 1042-S list can access it from the left-hand quick links panel:

Generating 1042-S forms through Payment Entry Module (PEM)

When you are ready to generate the 1042-S forms with the payments already entered for the year, please click on the E-file button in the Form 1042-S list, then click Generate all from the right-hand panel and confirm:

Once the forms are generated you will receive a notification in the notification bell at the top and also at your email address:

Reload or access the Form 1042-S list to view all the 1042-S forms generated:

 

Generating 1042-S forms with imported data

When you import the data the 1042-S list will show the imported information right after the 1042-S import file has successfully been uploaded. 

To generate all 1042-S forms with the imported data, click on the E-file button in the Form 1042-S list, then click Generate all from the right-hand panel and confirm:

Alternatively, if you wish to generate specific 1042-S forms only select the ones you'd like to generate by clicking on the tick box or anywhere on the line, click Actions and then Generate:

 

The Form 1042-S list consists of the following columns in addition to all 1042-S fields:

  • Email address
  • User type: user or vendor
  • Student Number (if any)
  • 1042-S source: imported or PEM
  • 1042-S Status PDF: Completed (if data has ben imported, but the forms aren't generated yet), generated (when the forms are generated); 1042-S exported (when the year is finalized, recipient copies created and available for download in the foreign nationals' profiles)
  • Electronic Consent: Yes, No or missing (whether the foreign national has given consent to receive the 1042-S forms electronically)
  • 1042-S Email: whether the 1042-S email has been sent to the recipients (please, see Email 1042-S recipients how to send the 1042-S email)
  • Last Generated: date of last 1042-S generation
  • Last Modified: date of last modification; could be different than last generated if an updated information has been imported, but 1042-S form(s) have not been re-generated
  • 1042-S Status TXT: Generated; Not processed yet; Good, federal reporting; Bad; Unprocessed (for more information, please see 1042-S Exports)
  • 1042-S TXT Export Date: date the txt file was generated
  • 1042-S TXT File Name: name of the txt file 

Important: Administrators can use the search function to find specific 1042-S records by name, email, student number, unique form identifier, etc.
