Actions Tab Overview

The Actions Tab allows administrators to select different actions for the users selected on the User List or all users in the Institutions account.

Administrators will use the Actions tab to send email communication, transfer records, mark profiles for deletion, lock or unlock accounts, run tax treaty determination and more!

Access

1. Login to your Calculus account.

2. Head to the Users Tab > All Accounts.

3. Select the user(s) you want to Action.

4. Select the Actions button at the top.

5. A side panel will open with different actions.

Note: On the side panel you can select to Action all users in your account.

Actions

Tax Residency

Administrators can recalculate tax residency for users in specific situations where the automatic determination has not occurred

Tax residency is generally determined automatically when the Residency page is submitted. In most cases, there is no need to manually run the Substantial Presence Test calculation using these options. However, these tools can be useful in rare circumstances, such as after an import that may affect tax residency determinations.

  • Determine Tax Residency for Selected Users: Recalculates residency for specific users you select.
  • Determine Tax Residency for All Unprocessed Users: Recalculates residency for all users who have not had automatic determination.

These options should only be used in specific scenarios where the standard automatic process has not captured the necessary changes.

Tax Treaty

Administrators have the option to recalculate or refresh the tax treaty determination for selected users.

Tax treaty eligibility is generally determined automatically after users complete the Calculus online questionnaire. You may need to use it if:

  • You receive notification of changes or updates from Sprintax Calculus that could impact tax treaty determinations.
  • You’ve made an import that may affect the tax treaty status.

In these cases, running this option will update the tax treaty status in the affected user profiles.

Email

Send email communication to selected users. Please see Email Templates and Email Campaign Tips.

Move to Vendors

Administrators can move the selected users to the Vendors Module.

Transfer

Administrators can transfer the selected users to the next tax year, see Transfer Records to New Tax Year.

Assign Responsible Officer

If your Institution has different Responsible Officers for various groups or cohorts they can be bulk assigned to the users here. This ensures that each officer is correctly aligned with the users or groups they manage.

To add Responsible Officers, see Add or Remove Administrators.

Approval Status

You can change the approval status for all selected users with this function.

Mark for Deletion

Delete the selected users. For more information please see, Delete Records.

Download Filtered Documents

Download Documents that have uploaded, e-signed or generated. For more information please see, Download Filtered Documents

Download Visits History

Download the visits to the US historical data for selected users.

Download Days of Presence

Download the days of presence in the US as provided in the users' accounts.

Process Accounts

Administrators have the option to process all the information in the selected users' accounts. This function may be helpful if you'd like the account re-processed to updated all current up-to-date information in case manual process is needed, for example, after an import.

Deactivate Accounts

This action allows you to move the selected users to the "Deactivated" list.

This will immediately move the selected users to the Deactivated List.

Lock or unlock Accounts

Administrators with the right permissions can lock and unlock user accounts. The feature is available if you don't want users to make changes to their profiles at any point, or vice versa - you can unlock an account after it has been locked if the user needs to make a change.
