Sept 9, 2026 - Product Update September

This month's release brings updates across user and vendor records, tax forms, payment reporting, and admin tools. Highlights include a new e-signature reminder on Tax Forms, expanded Income Code tracking, an easier way for restricted admins to reuse email templates, and a fully auditable Comments history.

1. User & Vendor Records


1.1 K1 Visa Category Renamed
The "K1 - Fiancé(e) visa" category has been renamed to "K1/K2/K3/K4 - Fiancé or spouse of a US citizen and their dependents" to better reflect who the category covers. Visit imports will only accept the new name as a valid value going forward.

1.2 U.S. Taxpayer ID Added to Manual Registration
U.S. Taxpayer ID is now an optional field in the manual registration modal for both Users and Vendors. Once populated, the record's U.S. TIN is captured at registration and is visible on the record's Personal Details page.

If the entered U.S. TIN is already in use by another record within the institution, the admin sees a validation message.

If the entered U.S. TIN doesn't match the required XXX-XX-XXXX format, the admin sees a validation message.

 

1.3 New Column: "Review Status in Prior Year"

A new column, "Review Status in Prior Year," has been added to the User and Vendor lists, making it easier to see last year's review status and track changes across tax years. It includes three sub-fields:

  • Status - the most recent review status from the previous tax year
  • Last Change Date - when that status was last updated
  • Last Changed By - the admin who made the last status update

The column reflects the latest assigned review status from the prior tax year. For users who did not exist in the previous year, the value displays as "N/A." It is not a static copy of prior-year data - if the prior year's status is updated (e.g., in 2025), the change is reflected in the current year's column (e.g., 2026).

Note: changes to the prior year's review status do not automatically refresh cached records in the following year, so the updated status may not appear immediately in the list. The correct value displays once the record is reprocessed.

A matching filter has also been added for the "Review Status in Prior Year" column, letting you filter records by status using 'Contains' criteria (e.g., Approved, Rejected, On Hold, Unprocessed, Pending Approval, or N/A).

 

1.4 IC-Specific Columns Added to the User List

In addition to the existing Tax Form filters and views for specific Income Codes, new Income Code-specific columns and filters have been added for improved visibility and tracking of tax form statuses.

For Individual Users, the following columns and filters have been added for IC28, IC29, and IC42:

  • Status
  • Signed Date
  • Expiry Date
  • Export By
  • Export Date

For Individual Vendors, these columns have been added only for IC42.

 

2. Tax Forms

 

2.1 Form W-4ME for Maine Available for 2026

Form W-4ME for Maine can now be generated for the 2026 tax year.

 

2.2 Tax Forms - Form Signature Reminder Message

A new validation message now appears when submitting the Tax Forms page if one or more forms are available for signature but have not yet been e-signed.

Users are prompted to complete the e-signature or upload a manually signed copy through Document Exchange before proceeding. The message displays the first time the user presses the 'Upload Required Documents' button on Tax Forms, prompting them to e-sign. If they'd rather upload their forms instead, pressing 'Upload Required Documents' a second time takes them to Document Exchange - which can also be reached directly from the navigation bar.

 

2.3 Updated 1042-S Status for Imported Forms

The 1042-S status shown for imported forms now more accurately reflects their status. When a 1042-S form is imported, its status displays as "Imported" instead of "Completed." This change is reflected in:

  • 1042-S List - "1042-S Status PDF" column
  • User and Vendor Lists - "1042-S Status" column
  • Filters - updated to include and use the "Imported" status

 

3. Payments & Reporting

 

3.1 Custom Fields in Payment Reports

You can now choose which Custom Fields display in Payment Reports. Selected fields are also included in the Payment Report export.

 

4. Admin & Templates

 

4.1 Email Template Copying for Restricted Admins

Admins who only have permission to edit their own email templates can now copy existing templates created by other admins. This lets restricted admins use existing templates as a starting point, while keeping the existing permission that limits them to editing only their own copies.

 

4.2 Comments & Comment History

The Comments section has been enhanced to provide a complete, traceable history:

  • Comments are now saved as individual records, each with content, author, and timestamp
  • New Add comment and Comment history options
  • Comment history lists all comments chronologically, newest first, and can be exported
  • Comment authorship and timestamps are permanently retained for auditability
