We're rolling out an update to how vendors are managed in the system. This is expected to go live on June 10th.
What is changing?
Individual Vendors and Entity (Corporate) Vendors are now managed in two separate sections. Here is a summary of the key changes you will see:
- The Vendors menu now has two distinct sections:
- “Entity Vendors” (previously just called “Vendors”)
- “Individual Vendors” (new dedicated section)
The dashboard now shows each vendor type in its own panel, so you can see their totals and statuses at a glance.
Vendors already in the system will be automatically placed in the correct list – no manual re-sorting is required.
A new Individual Vendors list has been introduced (Vendor – Individuals)
When adding a new individual vendor, you can register them directly in the Individual Vendors list.
A new “Individual Vendors” import option is now available for administrators who need to upload individual vendors in bulk.
Why are we making this change?
Individual vendors (people) and entity vendors (companies) often have different tax rules, documentation requirements, and reporting obligations. In the past, both types were managed in a single shared list.
To better support these differences, we have given Individual Vendors their own dedicated section in the system. This simplifies the data structure in Calculus, improves the year-on-year roll over and gives your team a cleaner view of each vendor type.
What is NOT changing?
This update changes how vendors are displayed and managed. It does not affect your data or your day-to-day workflows. All existing vendor records, statuses, and documents remain intact.
Do I need to do anything?
No action is required. The system will automatically organize existing vendors into the correct list based on how they are classified. You can use the new import methods when adding new vendors.
Benefits of this update:
- Clearer reporting
- New bulk import option
- Improved reporting through separate views
- Enhanced system reliability
- Improved roll-over process for subsequent years
