1042-S E-Filing via IRIS in Sprintax Calculus

Sprintax Calculus now supports electronic filing of Form 1042-S through the IRS IRIS system. This feature allows institutions to submit their 1042-S forms directly to the IRS from within Calculus. 

To use this functionality, IRIS e-filing must first be enabled in 1042-S Form Settings.

Important: When filing through IRIS in Calculus, submissions are made using Sprintax TCC details.

 

Enabling IRIS E-Filing

  1. Navigate to Settings from the left-hand navigation panel.

  2. Select 1042-S Form Settings.

  3. Enable the setting “Do you want to use Calculus to e-file 1042-S forms through IRIS?”

  4. Click Save to apply the changes.

Note: If IRIS is selected for federal reporting, FIRE cannot be used simultaneously. Only one federal filing method can be selected. However, FIRE remains available for generating TXT files for state tax reporting, where applicable.

 

Submitting 1042-S Forms via IRIS

  1. Select Forms for Submission

  2. Navigate to Form 1042-S List.

  3. Select the forms you wish to submit.

  4. You may select individual forms or bulk select multiple forms using the Actions panel.

  1. Initiate IRIS E-Filing

  2. In the Actions menu, scroll down and select E-file via IRIS (Internal).

  1. Complete Signature Information

In the 1042-S Signature modal, complete the required fields:

  • Contact Person

  • Issuer/Withholding Agent Signature

Click Submit.

On the following screen, draw your signature in the signature box and click Confirm.

Validation Process

After submission, the selected forms will be validated against IRIS business rules.

Successful Validation

If all selected forms pass validation, you will be able to select submit to IRIS.

Validation Errors

If any forms fail validation:

  • Errors will be listed for each affected form.

  • An error report can be downloaded via Download Errors (CSV).

You may choose Deselect Invalid Forms, which will automatically remove all forms with validation errors and submit only the valid forms.

Important Notes: 

  • Forms cannot be submitted to IRIS if validation errors are present.

  • Errors must be corrected either by:

    • Importing updated 1042-S forms, or

    • Manually correcting the individual forms in Calculus.

If re-importing forms, ensure the same UFI (Unique Form Identifier) is used so the incorrect form can be overwritten. Using a different identifier will create a new 1042-S record.

  • Total withholding credit (1042-S Box 10) must equal Federal Tax Withheld (1042-S Box 7a) plus Tax withheld by other agents (1042-S Box 8) minus Over withheld tax repaid to recipient (1042-S Box 9). 

Please ensure that all imported amounts are rounded to avoid reporting discrepancies caused by cents in the Form 1042-S amounts.

Viewing Submission Status

To review submission activity:

  1. Go to the Actions menu.

  2. Click View Submission History.

From the Submission History page, you can:

  • View details of the forms included in a submission.

  • Check the submission status while the IRS is processing the file.

 

 

To view details for the 1042-S forms included in a submission, click the icon below. 

This will redirect you to a page displaying information for all forms included in the selected submission.

To check the status of the submission, click the icon below. 

Please note that this button will only be visible until the IRS has processed the submission; once processing is complete, the button will no longer appear.

Once the IRS has processed the submission through IRIS, the status will update automatically in Calculus.
