We’ve introduced two new enhancements to improve visibility and control over 1042-S corrections in Calculus:
- 1042-S Correct Action modal
- 1042-S Change Log history
1042-S Correct Action
- Imported 1042-S forms can now be manually corrected using the Correct Action modal.
- The Correct button is available to admins with the following permissions:
- Import 1042-S Data
- View 1042-S List
- Generate 1042-S Forms
- Once a corrected form is submitted, a confirmation message will display:
“Form 1042-S with {UFI} has been updated successfully.”
- After a correction, you must re-generate the Form 1042-S in order to update:
- Admin copies
- Recipient copies
- PDF archives
1042-S Change Log
- Admins with View 1042-S List and Generate 1042-S Forms permissions can access the Change Log.
- The Change Log provides a complete history of all corrections made to each 1042-S form.
- Each entry indicates whether the correction was made:
- Through import
- Manually
- Via user navigation
Key Notes & Rules
- Once a UFI is created, it cannot be modified. If changes are required, the form must be deleted and regenerated.
- Greyed-out fields are locked and cannot be edited.
- The income code associated with an existing UFI can be updated.
- The recipient linked to an existing UFI can be updated.
- If a form is deleted and a new form is created for the same recipient and income code with a different UFI, the change history remains separate.
- Each UFI maintains its own independent history.
- While multiple fields (UFI, income code, tax rate, exemption code) differentiate forms, the UFI alone serves as the unique identifier for each 1042-S form.
