Transferring Settings
Go to Settings. The 2026 Tax Year will be visible and Available.
When TY 2026 becomes available under Settings, you may either transfer settings from the previous year or complete the setup manually.
When the 2026 settings are configured, you may choose to transfer records from TY 2025, or add records manually or via import.
Transferring Records
To transfer the previous year’s Users or Vendors, you must first proceed to the User or Vendors list.
Users:
Click Users on the left hand side menu.
Click All Accounts.
Vendors:
Click Vendors on the left hand side menu.
Click Active Vendors.
The lists will be empty and when you click into the lists the below pop-up will appear where you will see two options:
- I’d like to copy all records myself – automatically carry over user information into TY 2026
- I will enter data myself – manually add records or import them into TY 2026
If you choose “I’d like to copy all records myself” you will see the following additional options:
Copy deactivated records
This copies deactivated user/vendor records.
Transfer Tax Forms Info Section
This will carry over tax related information from Tax Forms Info section of the Foreign National Questionnaire.
Note: Questions related to Form 8233 are not transferred as the form’s validity applies only to the current year. The related information is updated annually. However, these questions can be imported in bulk after the transfer.
Document Transfer Options:
I’d like to transfer all personal documents
This will move any uploaded personal documents, that are not Tax Forms.
I don’t want to transfer personal documents
No personal documents will be carried over.
Copy all current signed or uploaded tax forms with a valid expiration date
This only transfers tax forms with valid expiration dates for example (W-8BEN, W-8BEN-E, W4, W9, W8-EXP)
Note: If any records in TY 2025 contain pending unapproved changes, admins will be prompted to confirm if those changes should be auto-approved before transferring into TY 2026.
