The Account Data tab provides Administrator Owner with visibility and control over Institution details and other account options within Calculus.
Access Account Data
1. Login to your Calculus Account.
2. Click on Account on the upper right corner.
3. Click on Account Data.
Entity Details
On initial set up, Calculus will input your institution data here. Administrators with edit permissions can modify institution data as needed.
1. Address: View and update the physical address of the institution.
Info: Updating the entity name requires assistance from Calculus Support.
2. Phone Number can be added if desired
3. EIN Number: Displays the Employer Identification Number associated with the institution.
4. Organization Type: Indicates the organization type classification for tax purposes.
5. Withholding Agent Type: Specifies the type of withholding agent designation.
6. You can select to use these entity details on all tax forms
7. You can select Test File which means any files add while you are testing the software or API can be identified and deleted post testing
8. You can select For Deletion which marks the record for deletion after a certain time period
Support Email
Administrators can set a dedicated support email address for foreign nationals to contact instead of Calculus Support for inquiries.
Contact Person
Administrators with permissions can add contact persons. The first contact person added will appear on the 1042-S E-file TXT document as the primary contact.
1. Name, Email, Title, Phone Number and Zip Code are mandatory to complete.
Warning: It's important to include a phone number so the TXT file does not get rejected
2. Additional fields are optional
3. Additional contact persons can be added by clicking on the add blue button
4. If you wish to remove this contact person, click 'Delete' on the right corner
Campuses
If your institution has multiple campuses that share the same EIN, they can be added and managed in this section.
Campus information can be imported in bulk into user profiles or selected from a drop-down menu on individual profiles' Personal Data pages.
Program Types
Institutions can define specific program types (e.g., Student Athletes, Teachers) for organizational categorization and reporting purposes.
You can Specify the tax year(s) for which each program type is applicable.
Program types can be assigned to foreign persons' profiles on the Personal Data screen.
Affiliates
Institutions with multiple affiliates with different EINs can create separate accounts.
1. Affiliates maintain separate user data and settings from the main account.
2. Administrators can manage affiliates either from the main account or directly within each affiliate account.
