An overview on how to create email templates (standard and custom).
Calculus offers a variety of email templates to use to communicate with your foreign national.
- Activation Email: The activation email is crucial for new users. It includes default text unless customized by an administrator. This email contains an activation link enabling users to set up their password, log in to Calculus, and begin filling out the online questionnaire.
Info: If your institution is using Single Sign On, the activation link should be removed and replaced with SSO link https://calculus.sprintax.com/secure/
Important: When customizing, utilize the Markers drop-down to add links, ensuring the activation link remains unchanged.
- Missing Info / Reminder Email: These options enable admins to send reminders to users who haven't completed all required information in their Calculus accounts. It includes default text unless customized by an administrator. You can access a list of records missing info directly from the dashboard under the "Missing Records" tab.
- Custom Email: Customize email templates, including the ability to define text, subject lines, and use markers for personalized content

Access Email Templates
1. Login to your Calculus account.
2. On the left side menu, select Users Tab, then All Accounts.
Important: There must be one record in the system to access email templates.
3. Select the profile(s) you'd like to send email communication.
4. Select Actions at the top.
Info: You can select all users on the page by checking the box in the User Names column.
5. A side panel will appear. Scroll to the Email dropdown and select the desired email template.
Important: To send an email to all users in the system, click on select Actions at the top. A Side Panel will appear, allowing you to toggle 'Select all Users'.
Default Activation Templates
Activation emails should be sent to new users in the system that do not have Institution credentials (non-SSO users)
When sending out default activation emails, you have the option to:
- Send an activation email to all selected users
- Send to non-activated users in the selection only
- Customize the subject line
Custom Activation Email
To customize the activation email, click on the template dropdown and select 'Create new template'.
You can now customize the subject line, body text and hide Sprintax signature.
Additionally, you can save the template for future use.
Info: When customizing, utilize the Markers drop-down to add links, ensuring the activation link remains unchanged.
Important: The activation link expires after 24 hours. You can resend the email or the user can click on 'Forgotten Password link' on the Calculus Login Page.
Default Missing Info and Missing Info Reminder Templates
If a user is missing information in their profile, you may use the default Missing Info and Missing Info reminder templates.
When sending out default missing info emails, you have the option to:
- Customize the subject line
To customize the missing info email, click on the template dropdown and select 'Create new template'.
You can now customize the subject line, body text and hide Sprintax signature.
Additionally, you can save the template for future use.
Add Logo
Institutions can add a logo to the body of the email when customizing the template.
1. In the body of the email click on the Image Icon.
2. Under Source: Add a URL of the logo
Important: Images are read from a URL of where the logo is posted. Right click the logo and copy image link to Source.
Warning: Images with a large file size or not supported file type (extension) where you are adding the file from will not load properly.
Mask Email Address
System Emails are sent from noreply@sprintax.com.
If your institution would like to mask this email address to the likes of noreply-school name or abbreviation @sprintax.com, please reach out to your Account Manager or Tax Specialist.
